Policy on Sick Leave, Maternity, Leave of Absence
Student Vacation / Leave Policy
The following vacation and leave policy has been formulated to ensure fairness and fiscal responsibility. The policy incorporates or adapts University
practice wherever possible.
Holidays
- New Year's Day
- Martin Luther King Day
- Memorial Day
- Independence Day
- Labor Day
- Thanksgiving Day
- Day after Thanksgiving Day
- Christmas Day
- Religious holidays as appropriate
Vacation
- Vacation with pay is granted to all full-time students in good standing in the Biomedical Engineering Doctoral Program. Timing of vacation
days should be discussed with the student's research preceptor.
- Vacation will consist of two (2) weeks per year (10 working days) for first year students and three weeks for academic
years two through seven. Additional time for students in years 2-7 may be granted by permission of both the student’s mentor and the
PhD Program Director. Any time a student is going to be away from the Program for one week or longer, the student must notify the Ph.D. Program
office (preferably via email) and leave a telephone number or a way of contacting the student while he/she is away.
- It is the student's responsibility to inform his/her research mentor of vacation plans. Often, a vacation can be disruptive
to the work of others, in cases of collaborative work. It is wise to provide at least two weeks' notice to your colleagues before your vacation.
Leave
- Maternity Leave — The birth mother is eligible for 45 days of leave which includes 30 days for
parental leave. Unless
prohibited by the funding source the stipend or salary will be maintained during the maternity leave. The mother may apply
unused vacation days to extend the maternity leave. When paid leave is no longer available, the birth mother must charge the
absence to leave without pay. The likely timing of leave, including any plans for extended leave, should be discussed
with both the student's research preceptor and the program director as early as possible. For medical leave of absence, health
insurance will be paid for by the program or sponsor for up to one year if requested by the student.
- Parental Leave — Up to30 calendar days can be granted following the birth or adoption of a child. Unless
prohibited by the funding source the stipend or salary will be maintained during the parental leave. Students who plan to utilize parental
leave are expected to notify their research preceptor and the program director as soon as they know they will need to use parental leave.
- Sick Leave — Students may take 15 calendar days of sick leave per year which can be applied to pregnancy/childbirth. Sick leave
is not accrued. The student's research preceptor and the program director should be notified at the onset of such leave, and they should be regularly
updated on the projected duration of leave.
